REQUEST FOR COMPETITIVE CATERING PROPOSALS
Xclusive Senior Day Care Center, Inc., located in Hialeah Gardens, Florida, is soliciting proposals from qualified catering companies and food service providers interested in providing meal services under the U.S. Department of Agriculture (USDA) Child and Adult Care Food Program (CACFP).

The purpose of this Invitation to Bid is to obtain competitive proposals from providers capable of preparing, handling, transporting, and delivering meals that meet the applicable program requirements for participants enrolled in the Adult Day Care Program.

Interested catering providers should carefully review all bid requirements and submit the requested documentation within the deadline specified in this notice.

USDA PROGRAM AND NONDISCRIMINATION
Meals provided through the program will be available at no separate charge to eligible enrolled participants.

Program services and meal benefits will be provided without discrimination on the basis of race, color, national origin, age, disability, sex, gender identity, religion, reprisal, political beliefs where applicable, marital status, familial or parental status, or sexual orientation, as applicable under federal program requirements.

ELIGIBILITY DOCUMENTATION
Participants who qualify for free or reduced-price meals may be required to complete the appropriate eligibility application and provide supporting information as required by the USDA CACFP program.

Required information may include:

The names and number of household members.
Total household income.
The last four digits of the Social Security Number of the head of household, primary wage earner, or adult completing the application, or an indication that no Social Security Number is available.
SNAP/Food Stamp, SSI, or Medicaid identification information, when applicable.
The required signature of the adult participant or authorized adult completing the application.
All eligibility information must be handled and maintained in accordance with applicable program requirements.

MEAL SERVICE REQUIREMENTS
Xclusive Senior Day Care Center, Inc. is requesting competitive proposals from qualified food service management companies and registered catering providers authorized to provide meal services under the applicable Florida Adult Care Food Program requirements.

The selected caterer will provide:

Breakfast
Lunch
Snack
Meal services will be provided five (5) days per week, Monday through Friday, for eligible participants receiving services at the center.

The successful bidder will be expected to enter into a one-year agreement with Xclusive Senior Day Care Center, Inc., subject to applicable USDA, CACFP, Florida requirements, food safety regulations, and the terms established by the center.

The catering provider will be responsible for ensuring that meals are properly prepared, packaged, transported, and delivered in a safe and timely manner according to the agreed-upon schedule.

MENU COMPLIANCE
All proposed menus and meals must comply with the applicable USDA/CACFP meal pattern requirements.

The selected provider must ensure compliance with applicable requirements concerning:

Required meal components.
Serving and portion sizes.
Nutritional standards.
CACFP meal patterns.
Food preparation and handling.
Transportation and delivery.
Food safety and sanitation.
Required meal documentation and records.

Bid packages will be available before 9:00 AM, beginning August 27, 2026.

Interested providers are responsible for obtaining the complete bid package, reviewing all requirements, and submitting all requested documents with their proposal.

BID SUBMISSION REQUIREMENTS
Completed proposals must be received no later than 10:00 AM on September 10, 2026.

Each bidder must submit the proposal:

In triplicate.
With original signatures where required.
In a sealed envelope.
With all required forms and supporting documentation.
Clearly marked “INVITATION TO BID.”
The sealed bid envelope must be addressed to:

FREE AND REDUCED PRICE-MEAL POLICY STATEMENT

Participants eligible for free and/or reduced-price meals must complete an application with documentation of eligibility information including the number and names of all household members, the last four digits of the Social Security Number of the head of household/primary wage earner or adult signing the application or an indication that a household member does not have one, total monthly household income or Food Stamps, SSI, or Medicaid identification number, and the signature of an adult care center participant.
